Charitable Donation Requests

Donation requests must be submitted by an authorized representative of a qualified charitable organization through our official request form. Incomplete requests may not be considered.

The requesting organization must provide:

• Organization’s legal name
• Mailing address
• Website and social media information
• Federal Tax Identification Number
• Current IRS 501(c)(3) determination letter
• Completed Form W-9
• Name, title, phone number and email address of the requesting representative
• Event name, date, location and purpose
• Date the donation is needed
• Expected event attendance
• Description of how the donation will be used
• Requested donation or type of support
• Planned promotional recognition for Toon Tiki Charters

Toon Tiki Charters reviews each request based on:

• The organization’s charitable status
• The purpose and beneficiary of the event
• Completeness of the request and supporting documents
• Donation availability
• Event and redemption dates
• Operational restrictions and blackout dates
• Planned marketing and recognition
• Alignment with Toon Tiki Charters’ brand and community priorities

Toon Tiki Charters may contact the requesting organization for clarification or additional documentation.

All donation decisions, including the type and value of the donation, are made at the sole discretion of Toon Tiki Charters.

If a request is approved, Toon Tiki Charters will provide written donation information that may include:

• Description of the donated item, cruise or certificate
• Estimated retail value
• Expiration date
• Blackout dates
• Reservation requirements
• Minimum bid if applicable
• Capacity or passenger limitations
• Applicable restrictions or redemption instructions

Donations have no cash value and may not be exchanged for cash, combined with another offer or used for a purpose other than the approved charitable event without written permission from Toon Tiki Charters.

Unless specifically included in the donation description, the recipient is responsible for gratuity, food and beverages, transportation, upgrades and other additional expenses.

As part of the donation request, the organization will identify how it plans to recognize Toon Tiki Charters. Promotional opportunities may include:

☐ Printed event materials

☐ Event signage

☐ Press releases or media announcements

☐ Verbal recognition during the event

☐ Auction or raffle listings

☐ Other promotional recognition

When applicable and appropriate for our audience, brand and marketing schedule, Toon Tiki Charters may also promote the requesting organization’s event through Toon Tiki Charters’ social media, website, email marketing or other available promotional channels.

For example: if you tag @toontikichartersnsb as a collaborator on social media, we will also post on our website.

Promotional support from Toon Tiki Charters is not guaranteed and will be determined based on timing, available content and marketing schedules.

The requesting organization grants Toon Tiki Charters limited permission to use the organization’s approved name, event name and logo to promote the approved charitable event and recognize Toon Tiki Charters’ community involvement.

The requesting organization may use the Toon Tiki Charters name and approved official logos solely for promotion and recognition connected with the approved event.

Toon Tiki Charters logos must remain proportional and may not be:

• Recolored
• Cropped
• Stretched
• Redrawn
• Altered
• Combined with other graphics without written approval

After the donation is awarded, auctioned or raffled, the organization must provide the recipient’s information to Toon Tiki Charters.

Required recipient information includes:

• Recipient’s full name
• Mailing address
• Phone number
• Email address
• Date the donation was awarded
• Method of award, such as auction, raffle or drawing
• Winning bid amount, when applicable
• Donation certificate or reference number, when applicable

Recipient information is required before the donation may be redeemed. This information allows Toon Tiki Charters to verify the award, communicate redemption instructions and maintain accurate donation records.

The requesting organization is responsible for:

• Providing complete and accurate information
• Using the donation only for the approved charitable purpose
• Following all applicable raffle, auction, solicitation, tax and fundraising requirements
• Promoting the donation according to the agreed promotional plan
• Protecting the Toon Tiki Charters name and logos
• Providing the final recipient’s contact information
• Notifying Toon Tiki Charters of event cancellation or significant changes
• Communicating all expiration dates, blackout dates and restrictions to the recipient

Event cancellation, organizational status changes or material changes to the fundraiser may require the donation to be reviewed again.

Please complete the Toon Tiki Charters Charitable Donation Request Form and email all required tax and event documentation. Allow sufficient time for review before your event or donation-needed date. Submission of a request does not guarantee approval.
